Parties and Private Hires

Terms and Conditions


Party Bookings and Deposits


Party bookings are not confirmed until we have received a non-refundable deposit of 50% of the party cost. Teddy Bears Picnic and Beary Bash parties require the number of children in your party to determine the deposit cost; or it shall be taken on the minimum number. Deposits and other party payments are taken by credit card, debit card or cash; we do not accept cheques. All major cards are accepted including American Express. Booking confirmations are sent via email and responses will be taken as acceptance to our Terms and Conditions as well as the House Rules of Barney’s Playbarn. Confirmations will not be sent until after a deposit has been paid. Provisional bookings are taken on an individual basis, but are only held for 48 hours.


Outstanding balances are to be paid up to and including the day of the party. We reserve the right to make any changes to your party without notice.


Cancellations


All deposits are non-refundable. Exceptions to this or postponements may be considered on an individual basis by management and postponement fee may be applied; Managements  word is final.


Menu and Attendance


Confirmed numbers and food options for all party types must be sent to Barney’s Playbarn at least ONE week before the party date this should be in writing via email is preferred. We will need to be notified of any additional guests as part of the confirmation ONE WEEK before your party.  You will still be charged full price for party guests who do not attend. If food options are not confirmed for Teddy Bears Picnic or Beary Bash a week before the party date, options will be chosen for you. Barney’s reserves the right to make changes to menus or substitutions dependent on availability.


Only food purchased from Barney’s Playbarn may be consumed on the premises. Celebration cakes are exempt from this. To help accommodate dietary requirements, please inform us of any allergies when booking the party of when confirming food choices at least a week before your party. Please note our food is not prepared in a Gluten/ Nut/ Dairy Free environment; although every precaution is taken cross contamination can occur.  We shall try our very best to accommodate any allergens or intolerance's although sometimes this is not possible.


Adults attending the party will not be charged, however siblings to party guests will be charged the standard admission price; please ensure parents and your guests are aware of this. Please issue us with names for the party one week beforehand via email.   The minimum for Teddy Bears Picnics is 10 children. The minimum for Beary Bash is 10 children. The maximum for both parties are 20 children, 20-30 to be authorised by management only. Cubs in the Wood is for under 4’s only; during weekdays before 3pm, with a minimum of 5 children. This party takes place in the main room not the party room.


Party Room and Decorations


The party room is not available for Cubs in the Wood, Early Bird, Night Owl, or Evening Private hires and use of the party room will not be guaranteed for other parties. However parties will be held in the party room whenever possible. Decorations are welcome but are to be put up on window and glass only and with blue tac. Balloons must be foil balloons only, for health and safety precautions we do not allow latex balloons or balloons that pose a choking hazard   on the premises.  The Playbarn’s House Rules also apply in the party room. These can be found in-house and on our website.


House Rules


Full House Rules can be sent to you via email and are available on the premises. Our core rules are listed below.


House Rules MUST be followed: failure to do so may result in cancellation of your party.


All parties must provide the name of the designated adult that will be supervising the children in Barnington (role play village)


The designated adult MUST supervise the children adequately; damage and breakages due to non supervision and rough antisocial behaviour will be charged for.


Absolutely no food and drink in the play area


Children are to play in their dedicated age zones only


Early Bird and Evening Hires


Party hosts and guests will not be able to enter the premises before the Early Bird party. Party hosts may discuss early entry for decorating etc with management prior to the party date; however this cannot be guaranteed and hinders staff doing their morning safety checks.


When booking a private hire event, DJ, bouncy castle and Costume Character (Barney & Becky Bear) requests must be specified when booking the party. All of these are subject to availability and will need to be confirmed with management; request at time of booking do not guarantee any of the above extras.  If our DJ is unavailable for evening hires, disco music and lights may be offered as an alternative; an additional charge of £50.00 is charged for the DJ.


Our bouncy castle and lights and music are available for evening hires only at no additional cost. However bouncy castle can only be accommodated for parties of 15 or under. We are unable to provide both of these for the same party for health and safety reasons. Barney/Becky Bear appearances are available for all party types, subject to availability, for an additional cost of £10.00.


Maximum Number of Children for Early Bird Hire and Twilight Tea is 25 (25-35 to be authorised by management only)


Maximum Number of Children for Evening Hire is 50.


External Entertainers


Outside companies such as face painters, magicians etc must be agreed by management prior to the party. All external entertainers must have valid public liability insurance and DBS checks.
